Deleted Profiles and Data Retention

  • The data retention policy is simple and strict:

    • If or when a Customer wants to delete their account or information from the system, they are in complete control to do so.

  • In compliance with GDPR lawfulness, fairness, and transparency, an Admin cannot delete a Customer’s account for them. Instead, the Customer is given complete control over their data inside the Account Info button on the Account tab of the App.

  • If the Customer wants to delete their account, they can:

    • Navigate to the Account tab of the App

    • Click on Account Info (the top button)

    • Click on Delete account (bottom button)

  • If a Customer clicks on the Delete account button, a pop-up will appear which says:

    • Are you sure you want to delete your account?

  • ”If you delete your account, [Club name] will no longer keep your data on file.

    • Upcoming reservations will be canceled and Virtual Credits will be lost.

  • The Customer then has an option to click on the Cancel button or the Yes, delete my account button

    • If the Customer clicks on the Yes, delete my account button, their information in the Dashboard will disappear and the Customer’s information will not be searchable

    • All previous purchases by the Customer remain visible through the Purchases Page Export and through no other source

  • In the case where a Club is on the PodPlay Pro or Autonomous tier, there may be Replays in the system of when the Customer captured a Replay

  • For video data retention:

    • Security footage is held for 30 days (at most) before the footage is deleted forever

    • Video feed from Replay cameras is held for 48 hours before being deleted forever

    • Replays that are captured during a Reservation or Event are held in the Customer’s profile until the Customer deletes their Account from the system
