ActiveCampaign with Segment

Data from PodPlay is sent to ActiveCampaign daily. Should you need or want to import the data ad-hoc, there is a "Import" button on the Contact page inside of ActiveCampaign. Click on this button and it will sync the data between the systems.


  • PodPlay’s parent company, PingPod, is an autonomously operating club with more than 20 locations worldwide. It utilizes ActiveCampaign in conjunction with Segment to run marketing campaigns with its more than 100,000 customers.

      • A Club can purchase different pricing models with Active Campaign to meet their desired needs. PingPod utilizes the Professional Plan.

      • How does ActiveCampaign integrate into PodPlay?

        • Once a Club has purchased ActiveCampaign, you will find your API URL and API Key on the UI Settings page under the Development tab.

        • Provide to your PodPlay Customer Success Manager (CSM)

          • API URL

          • API Key

      • The PodPlay team will then add these to our system, and your Club’s ActiveCampaign account will begin to receive customer data.


Deep Data E-commerce Integration

PingPod has a deep data integration with Active Campaign, just like Shopify or Square.

The Fields are set up in such a way to easily segment or target customers based on location, event type, event name, and coaching. When making a segment use “Contains” to target based on the name, category or SKU. The SKU format is

  • Booking - [pod]-[location]-[region]

  • Coach - [coach tier]-[pod]-[location]-[region]

  • Event - [Event/Series]-[location]-[region]

Below are a few examples of how it’s used:


  • If a Club would like to use ActiveCampaign, below is a list of email automations currently used in PingPod. To upload these automations, a Club needs to purchase ActiveCampaign and click on the links below to accept. A description is also provided of how the automation is used:

      • When a Customer creates an account, they are filtered into a designated marketing list to receive emails.

      • When a Customer deletes their account, we add a special tag so they no longer receive marketing emails.

      • When a Customer books a Reservation, this list tracks when the last Reservation occurred.

      • After a Customer’s first Reservation, this automation kicks off a drip campaign.

      • If a Customer abandons their cart and does not complete the purchase, they are added to this list and receive the following drip campaign

      • If a Customer is connected to a specific region, they are added to this list with that associated regional tag.

      • If a Customer’s email contains some domain and a “+”, keep this list separate from marketing campaigns

        • This is unique to PingPod as PodPlay frequently tests new features inside the environment. Your Club will probably not need it, though it’s provided if you want to use it.


The information passed from PodPlay to ActiveCampaign is as follows:

  • Name

  • Email

  • Phone

  • Customer Birthday

  • Customer Gender

  • Membership = name/type of membership

  • Location = location of the club they visited/engaged with via marketing, not the location of the Customer

    • We do not store Customer addresses for security reasons

An ActiveCampaign user can capture additional information if the Customer completes surveys and quizzes inside ActiveCampaigns automation that are built within the ActiveCampaign system.


What is Segment?

  • The company is a customer data platform (CDP), and offers a complete toolkit to standardize data collection, unify user records, and route customer data into any system where it’s needed.

  • A Club can purchase different pricing models with Segment to meet their desired needs. PingPod utilized the Team Plan at $120/month.

We use Segment.io (and specifically Segment E-commerce spec) to send the following events to all providers:

  • account_created

  • account_deleted

  • Product Added

  • Product Removed

  • Checkout Started

  • Order Completed

  • reservation_cancelled

  • event_cancelled

  • membership_subscription

  • reservation_completed

  • first_reservation_completed

These are the Identify aspects:

  • email

  • firstName

  • LastName

  • membership

  • gender

  • birthday

  • phone

  • tags

We send the following dynamic tags -

  • location: {region}:{area}

    • populated whenever a customer does any action at a location

    • example: location:new-york:astoria

  • reservation:{area}

    • customer books a reservation at a location

    • example: reservation:w99

  • event: {area}

    • customer signs up to an event at a location

  • event: {category}

    • customer signs up to an event at a location

  • coach:{coach-tier}

    • customer books a private coaching lesson

  • invite:{area}

    • customer accepts an invite to a location

  • membership:{membership}

    • customer is enrolled in a membership
