What is a Cancellation Policy?

  • A Cancellation Policy is a universally applied rule in many industries to incentivize Customers to cancel their Reservations or Event attendance as early as possible. When a Customer cancels their Reservation at the last minute, the Club has a court/table available that could have been utilized by another Customer. When the Club misses out on a sale with another potential Customer, this is seen as lost inventory (inventory = court/table time). The Club can avoid loses by implementing a Cancellation Policy with incentives for the Customer to cancel early.

  • After years of testing, the default Cancellation Policy offered by PodPlay is:

    • 10-minute grace period after booking: Free

    • >24 hours in advance: Free

    • <24 hours in advance: Full cost of the Reservation

  • The account credit reference in this last point is about Credits. Meaning, if the Customer had a Reservation for one hour at a cost of $40, the Customer would receive only $5 in Credits on their Customer Account.

    • In another situation, if the Customer canceled 4 hours before the Reservation, the Customer with the same Reservation of one hour at a $40 would be charged a $5 cancellation fee.

  • PodPlay Clients have been known to increase the time and/or charge depending on their specific needs and expected Customer base. Depending on your Club’s Cancellation Policy, different things will happen.
