PodPlay and the 1099 Form

In using PodPlay, you can streamline payments to your Club’s Coaches for private lessons, clinics, and other Events.

While PodPlay does not generate 1099 forms directly, we provide a detailed payment breakdown in a format that makes it easy for you to compile the information needed for 1099s.

A 1099 form is an IRS document used to report payments made to independent contractors, such as your Coaches, who are not employees of your club. If you pay a coach $600 or more in a calendar year, you’re generally required to issue them a 1099 form and file it with the IRS by the following year.

Export from the Coach page in the Dashboard

Our system includes a robust Export to help you track Coach earnings. When a Coach is paid through PodPlay, the Export is a CSV file details a record for every Coach service provided. Inside the Export is:

  • A list of all private lessons, clinics, and other activities each Coach taught

  • How much money was transferred to each Coach

  • And if your club pays coaches outside of PodPlay (some Clubs elect to take this path), the CSV shows how much they would have received if a dollar value was added into the Event or Reservation, helping you account for potential payments

This CSV provides a clear, organized summary of Coach compensation—perfect for preparing 1099s or sharing with your accountant/bookkeeper.

Use the Coach page Export for 1099s

To turn the CSV data:

  1. Download the CSV

  2. Review and filter the data

  3. Receive a W9 from your Coach (this is external to our system and is provided to the Club by a Coach)

  4. Prepare the forms (or ask your accountant/bookkeeper)

  5. Distribute and file

Paying Coaches Outside the System

If your Club pays Coaches outside of PodPlay, the CSV still helps by showing the value of their services booked through our platform. You can combine this with your external payment records to calculate the total amount for the 1099.

Why PodPlay Does Not Generate 1099s

Creating 1099s involves collecting and storing sensitive information and adhering to strict IRS regulations. Because PodPlay does not store sensitive information, like:

  • Your Club’s taxpayer identification number (TIN) or employer identification number (EIN)

  • The Coach’s address and social security number (SSN)

  • Payments made to the Coach outside of the PodPlay system

We keep things flexible and secure, focusing on providing you with the raw data instead.
