Limits on Customer Reservations

Edited
  • During the configuration of your environment, you can place limits and restrictions on Customer Reservations in a few ways.

    • Booking Horizon: this is how many days into the future your customers can book a private Reservation

      • For example, a Booking Horizon of 7 days means your customer can book a reservation a week from today

    • Show 1-hour Bookings: this restriction shows your Customers only 1-hour booking slots

      • Meaning that instead of available booking slots at 1 pm, 1:30 pm, 2 pm, 2:30 pm, etcetera, the Customer will see booking slots for 1 pm, 2 pm, 3 pm, and so on

    • Enforce 1-hour Minimum: this restriction will force all of your Customers (both Members and Non-members) to book their private Reservations at a minimum of 1-hour

      • Please note: this restriction MUST be turned on if your Club has elected to turn on the “Show 1-hour Bookings”

      • If the “Show 1-hour Bookings” is not turned on, then this restriction will force Customers to book a minimum of 1-hour, and then the Customer can choose to book an additional 30-minutes for a total of 90-minutes on their Reservation

    • Max Hours per Reservation: this restriction will set a limit on how long a single Reservation can last

      • For example, if this restriction is set to 2, then a Customer can only book a Reservation that lasts 2 hours

        • Please note: this does not stop a Customer from booking two (2) 2-hour Reservations back-to-back

    • Max Future Reservations per Customer: this restriction applies to how many Reservations are on the calendar at a time

      • For example, if this restriction is set to 5, a Customer (Member or Non-member) can book 5 Reservations, and cannot book a 6th Reservation until they attend their 1st Reservation (thereby having 4 future Reservations remaining on the calendar)

      • This restriction can be applied uniquely to different levels of Membership

        • For example, Membership A can have a max future Reservations of 4, while Membership B can have a max future Reservations of 8

    • Max Future Free Off-Peak Reservations: this restriction can apply to both Members and Non-members

      • This restriction only needs to be considered if your Club offers $0 private Reservation booking options during Off-peak hours

      • The value of this system restriction is to stop Customers from hoarding to free Reservation options

  • Each of these restrictions are in the back-end configuration of your Club’s environment and provide each club with the opportunity to be creative in how they want to place restrictions on the Customer Reservations

  • These restrictions limit the Customer Reservations because there are always bad-apple Customers who hog or hoard play time of your time-bound inventory, and with the PodPlay team being Club owners, we know how to handle these bad-apple Customers
