Membership Commitment and Notice
When a Customer buys a Membership, they will adhere to two general rules:
Holding the Membership for a minimum amount of time (commitment)
Notifying the Club far enough ahead of time if they decide to cancel (notice)
These two general rules are referred to as the Minimum Commitment and the Minimum Notice. The default system policy is:
60 days minimum commitment
30 days cancellation notice
If you would like this policy to change, ask your PodPlay CSM to change the settings for your Memberships.
Minimum Commitment Period
This is the number of days a Customer must hold their Membership before they are allowed to cancel.
In an example:
Minimum Commitment is set to 60 days
Customer A began their membership on April 14th and are billed on the 14th of every month; they request to cancel on May 5th
They have not reached their 60-day Minimum Commitment, and thus will be charged on May 14th before their Membership subscription cancels on June 14th
In the above example, the Customer here will reach their 60-day minimum subscription commitment on their June 14th bill date.
Minimum Days subscribed is set to 60 days
Customer B is billed on on the 14th of every month, has been subscribed for 1 year, and cancels on May 5th.
Membership is Cancelled on May 14th
In the above example, the Customer here has reached their Minimum Commitment and can cancel before their next bill date.
Minimum Notice Period
This is the number of days before the next billing date when a cancellation will finalize.
In an example:
Minimum Notice period is set to 20 days
Customer A is billed on the 14th of every month and cancels on May 5th
Membership billed on May 14th and subscription cancels June 14th
From the above example, the Customer DID NOT provide a notice more than 20 days in advance of their next charge date, so if the Admin cancels the Customer’s Membership from the Dashboard (inside their Profile), the system will automatically charge the Customer one more time before their Membership is canceled.
In another example:
Minimum Notice period is set to 20 days
Customer B is billed on 30th of every month and cancels on May 5th:
Membership is cancelled on the 30th since they gave the minimum notice
For the above example, the Customer DID provide a notice of more than 20 days in advance of their next charge date, and thus their Membership cancels before their next subscription charge.
Min. Commitment and Min. Notice Together
In an example:
Minimum Commitment is set to 60 days and Minimum Notice is set to 30 days
Customer A is billed on the 10th of every month, joined on March 10th, and cancels on May 5th
They will reach their Minimum Commitment on May 10th, and since they did not provide a 30-day notice before the May 10th charge, will be charged one more time on May 10th before their Membership cancels on June 10th
Customer B is billed on the 8th of every month, joined on April 8th, and has been a Member for nearly a year when they canceled on Feb 4th
They have reached their Minimum Commitment of more than 60 days, and their Membership will cancel on March 8th after one more charge on Feb 8th for the Minimum Notice of 30 days
Switching Memberships
PLEASE NOTE: if a Customer has one Membership and then changes their Membership, they are required to hold the new Membership until they meet the Minimum Commitment of the new Membership.
In an example:
Customer A has Membership X for 45 days and then wants to switch over to Membership Y
The Customer will need to meet the Minimum Commitment for Membership Y before they can cancel the subscription
