Using the Settle Now button to charge Customers immediately

  • The PodPlay system will always charge a Customer for their private Reservation or participation in an Event after the Reservation or Event is over

  • If an Admin wants to charge Customers in an Event or Reservation before it is over, there exists a Settle Now button

    • By using the Settle Now button, an Admin can confirm the authorized charge to a Customer’s credit card (CC), rather than waiting for the system to charge the Customer

    • The Settle Now button is available inside of every Reservation or Event

  • To use it, an Admin would

    • Click on a Reservation or Event

    • Click the three vertical dots on the bottom left of the side panel

    • Click the Settle Now button

      • The Admin will notice a new window pops up, providing a list of every Customer’s respective charge

    • Click the blue Settle button in the bottom right of the pop-up window

  • Please note:

    • While this is a useful feature in the system, it is important to keep in mind that if the Customer cancels their Reservation or Event participation, and is not charged a cancellation fee, the Admin will need to refund the Custome

    • If a Customer requires a refund, the Club will miss refunding the Stripe Fee, which is collected during payment processing

      • This does not mean don't use the Settle Now button, it means be careful when using it, because the system will already charge the Customer after the Event or Reservation

      • By relying on our default system settings, there is less reason to give refunds
