Seasonal Courts or Contracted Courts
A Seasonal Court or a Contracted Court (sometimes called a Timeshare Court) is when a Customer pre-pays for a court on a specific day and time for several weeks or months into the future.
If your Club would like to offer these Seasonal/Contracted Courts to your Customers, there are two ways to handle the request:
Admin Books Reservations
Event as a Series
When charging Customers for this type of booking, the Customer will sometimes receive a discount for their booking, sometimes not. Why a Customer might receive a discount is because the Club is seeking to generate more revenues in the immediate future. Why a Customer might not receive a discount is because the Club is allowing the Customer to bypass their Booking Horizon and secure their desired courts during a preselected day and time. The choice of providing a discount for the booking or not is entirely up to the Club.
Both options are detailed below with additional considerations.
Admin Books Reservations
Why: An Admin can book as far out into the future as they want for a Customer, and in doing so can bypass the Booking Horizon. The Customer has the opportunity to invite different friends to their Reservations with this method. Because each booking is a standalone Reservation, the Customer can send out an invite for each of the Reservations one by one.
How: The Admin will:
Charge the Customer inside their Profile for the total value of the Contracted/Seasonal Courts
Book the numerous Reservations for the Customer using the FREE booking option
Notify the Customer they can invite their friends from inside the App, using the “Invite” button
What: Now that the Reservations are booked weeks or months into the future, the Reservation Holder can invite their friend to each Reservation. The Reservation Holder can choose to invite one group of friends to the Reservation on week 3 and another group of friends to the Reservation on week 4.
Events as a Series
Why: An Admin can book an Event as a Series for a Customer, thereby creating a single Event with all sessions connected. The Customer will then be added to the first session in the Series and will populate across all session in the Series. The Customer will not have the opportunity to invite different groups of friends because once a Customer is added to a Series, they will populate across all sessions. This is something the Admin will need to keep in mind. Meaning, if the Club only wants 4 people per session to be allowed in, and different groups of people have joined the Series, there could be 6 or more people in the Series. If this is the case, the Club will need to ensure that only Reservation Holder reminds their friends that only 4 players are allowed to play per session.
How: The Admin will:
Charge the Customer inside their Profile for the total value of the Contracted/Seasonal Courts
Create an Event as a Series on the preferred day and time
Add sessions to the Series for as far out as needed
Add the Customer to the Series
Send the signup link to the Customer to share with their friends
What: Now that the Event has been booked with sessions weeks or months into the future, and the Customer who bought the Contracted/Seasonal Court is added as an Attendee, they will see each of the Sessions in their App. If they want to invite different friends to one session over another, the Customer will need to send out the signup link which was provided by the Admin.
