Building a Series with a Coach

  • A Series is several Events all connected to one another

    • When a Customer signs up for a Series, they are signing up for all of the Event sessions in that Series

    • A Club might create a Series that is 4 weeks long, with 1 Event each week, or a Club might create a Series that is 12 weeks long, with 1 Event each week

  • The Admin creating the Series might want to add a Coach to each Event if the Series is a Clinic, or the Admin might want to add a Coach to a single Event in the Series if the Series is a Beginners League. Thus, the Admin wants the Coach to show the Customers in the Beginners League Series how to properly play and score the matches

  • Regardless of how the Series is run, for a Coach to be added to the Series, an Admin needs to be added to EACH of the Events in a Series


Paying a Coach in the Series

  • When a Coach is added to an Event (within a Series), the Coach is paid the rate for that single Event of the Series, whatever rate may be entered

    • Meaning, if a Coach is going to teach a 4-week long Clinic Series, and the Coach’s rate is $200 for the Series, the Coach must be added to each Event in the Clinic Series with a rate of $50

    • After every Event, the Coach is paid their $50 (or some other rate that was added)

    • The Coach is not paid for the Series all at once, even if the Customer is paying for the Series all at once

      • It’s good data management practice to pay Coaches / Event because then the PodPlay system of record can track when a Coach was paid and for which Events

  • If a Coach is not added to an Event session within a Series, and works that Event session, the Coach will not be paid for their work

    • If the Club realizes this after the Event session is over, an Admin can add the Coach into that Event and pay the Coach with an Ad-hoc Payment

    • If the Club realized they forgot to take a Coach off an Event session within a Series, the Admin can Reverse a Coach Payment within that Event


Note for PodPlay's International Clients: Coaches are not paid through the PodPlay system if the Club is located outside of the U.S. The reason for this is that paying a Coach through the system would require a cross-border transfer, resulting in a currency exchange. Coaches at Clubs located outside of the U.S. should still be added properly to all Events and Coaching lessons, then the Club pays the Coach outside of the system. Clubs can easily manage how much a Coach needs to be paid using the Export button on the Coach page in the Dashboard. Data included inside the exported CSV includes:

  • A list of all private lessons, clinics, and other activities each Coach taught

  • How much money was listed on the Coach's rate during each lesson, clinic, or event

This CSV provides a clear, organized summary of Coach compensation.
