Membership Restrictions and Perks

During onboarding and system configuration, your PodPlay CSM will propose restrictions to guide your Customers toward desired behaviors. These system restrictions are adjustable after onboarding, too. The following restrictions can be used on Memberships:

  • Subscription Cap

    • This is the maximum number of Customers who can subscribe to a Membership. If there is a cap = 50, then only 50 Customers will have the opportunity to buy this Membership. Once the cap is hit, the Membership card visible to the Customer will show a “Sold Out” flag and will not allow any further Customers to buy a Membership

  • Booking Horizon

    • Memberships can have a different Booking Horizon than Non-members. The Booking Horizon for each Membership can have a different configuration of days. Meaning, Non-members could have a 5 day horizon, while Membership A has a 7 day horizon, and Membership B has a 14 day horizon. Admins are able to bypass this restriction from the Dashboard and book a Reservation further out than the horizon for the Member.

  • Free Quick Replays (Welcome)

    • By default, all Customers are provided with 5 Quick Replays when they create a Profile (this can be adjusted if desired). When a Customer buys a Membership, the system can be configured to allow a Member to receive more Quick Replays only upon Membership purchase. This is defaulted to 0.

  • Free Quick Replays (Monthly)

    • When a Customer buys a Membership, the system can be configured to allow a Member to receive N Quick Replays every Membership renewal period. This is defaulted to 0.

  • Virtual Credits (Welcome)

    • When a Customer buys a Membership, the system can be configured to allow a Member to receive Credits upon Membership purchase. These Credits are provided only once and this value defaults to 0.

  • Virtual Credits (Monthly)

    • When a Customer buys a Membership, the system can be configured to allow a Member to receive Credits every Membership renewal period. This is defaulted to 0.

  • Coaching Discount Percentage

    • A Member can receive an additional discount for a Coaching lesson. For example, if a Coach costs $50/hr and the court costs $40/hr, a Customer would pay $90 for a 1-hour lesson. If the discount value here is 50%, then a Customer with this Membership would pay $65 for the lesson ($50 / 2 = $25 + $40 for the court). This can be configured by Membership tier and defaulted is 0.

  • Max. Future Private Reservations

    • Members can have a value set in terms of the maximum amount of future Reservations they can book. The value defaults to 0, meaning there is no maximum amount of future Reservations the Member can book. If the value of 2 is entered here, then a Member can only book 2 Reservations. If the Member tries to book a 3rd Reservation, the system will stop them and provide an error message saying the Customer has hit their maximum amount of future bookings. Once the Member attends their 1st of 2 Reservations and only has 1 remaining future Reservation booked, they will have the opportunity to book another future Reservation. This restriction does not limit the Member from joining Reservations booked by other Customers. Admins are able to bypass this restriction from the Dashboard and book more Reservations for the Member.

  • Max. Future Event Signups by Type

    • Members can have a value set here in terms of the maximum amount of future Event signups allowed. The value defaults to 0, meaning the Member does not have a restriction on Event signups. If a value is added here, it can be added by Event type. Meaning, a value of 5 Open Play signups and 2 Clinic signups can be used to limit the Member from joining more than 5 future Open Plays or 2 future Clinics. The Member must attend one of these Event types before they can book another Event of the same type. This restriction can apply to any Event type or Custom Event type.

  • Membership Group Settings

    • If a Membership is a Group Membership, then a Customer can buy the Membership and invite another Customer Profile to share in the Membership perks. Admins are able to bypass this restriction from the Dashboard and add more Customers to a Group Membership. Group Memberships share a pool of Passes for any Package connected to the Membership (see point below for more information).

  • Package Template

    • Memberships can have a Package of Play Passes connected to their Membership. If a Membership has Passes, then the Member can use these Passes until they expire. The expiration date for the Package defaults to 31 days. Once the Package has expired or has been exhausted (all of the Passes used), the Member will need to wait for their renewal date before they are provided with another Package of Passes.
